Findings from your site survey

Thank you for allowing us to conduct our IT survey. We attended the offices at Howden, Goole, and Thorne and determined the following:

10 of the 11 PCs in use are incompatible with Windows 11 and are quite old. Should there be a vulnerability found with Windows 10 Microsoft are no longer producing security updates so your information could be at risk.

The version of Office being used is Office 2019 Pro Plus and is compatible with windows 11 and can be installed with the appropriate license key. However, since October 2025, Microsoft Office 2019 is no longer supported. The newer versions of office are all subscription based

We found you are protected by Norton Antivirus on all your PC’s

The backup routines in the three offices are variable. In Howden there is a regular weekly backup taken using an external hard drive, but it only backs up the documents in a single folder, so any documents not in that folder are not backed up. In the other offices a backup is taken but is not conducted on as regular a basis.

The phone system and the internet are using the same line, which can mean internet will be slower whenever multiple calls are taken at once.

There is a requirement for the ability to send and receive digitally signed documents

There is a request to examine whether you can connect your phone system with the estate agency software, Alto. Howden and Goole are using Yeystar phone system and Thorne is using 3CX (we believe). 

Recommendations:

Our recommendations cover three phases, the first of which is to upgrade the PCs to Windows 11, followed by examining the backup routines and implementing digital signed documents, and then examining how we can better integrate your phone systems and software.

The first phase of the infrastructure upgrade focuses on replacing ageing computers and updating business software to improve reliability, security, and productivity.

Many of the current PCs are reaching the end of their useful life, which increases the risk of hardware failures, slower performance, and compatibility issues with modern software. We recommend replacing these systems with new business-grade computers that will provide faster performance, greater reliability, and ongoing manufacturer support.

As part of this upgrade, all users will be moved to Windows 11 Pro, Microsoft's current business operating system. This ensures continued security updates, improved protection against cyber threats, and compliance with modern business and insurance requirements.

We also recommend moving to Microsoft 365, which provides the latest versions of familiar applications such as Word, Excel, Outlook, and PowerPoint, along with cloud storage, email services, and collaboration tools.
